Pre-Registration for Users/Personnel

EvTrack has a module that allows the administrator to distribute a link to new users or personnel that can be used to pre-register. Once the user has submitted the registration form the designated administrator email address will be notified of the pending request.

The administrator can then proceed by open the Registration page and either convert the registration request into a new user or person. After the new entity has been created the registration request will be removed from the list.

Process Overview:

  1. Configure the System Settings
  2. Configure the System Registration Settings
  3. Distribute the Registration Form URL to new users
  4. New User Complete and Submit the registration form.
  5. Process the new Registration Request

1. Instructions:

1. Configure the System Settings

1.Navigate to Configuration > System Settings and click on the “General” tab and then the “System” tab.

  1. Ensure that the Company Name and Send Admin Notices to Email Address fields are complete.

!Please note if “Send Admin Notices to Email Address” is not configured the system will not notify the administrator.

2. Configure the System Registration Settings
  1. Navigate to Configuration > System Settings and click on the “Users” tab and then the “Registration” tab.
  2. Check “Public Registration Form Enabled”
  3. Review the default registration form instructions field.
  4. Select the required fields the user must complete

3. Distribute the Registration Form URL to new users
  1. Copy and Paste the Public Form URL and distribute to the new users.

4. New User Complete and Submit the registration form.

All fields except License Plate Number Field are required. Only if “Do you require Vehicle Access” is checked will the licence plate number field be required.

5. Process the new Registration Request.
  1. The Administrator receives a new registration notification via email:

  1. Click on the Process Registration Link inside the email or navigate to the Registration page:

  1. Process the request by either clicking on the “Add Person” or “Add User” button. The system will then pre-populate the new user form with the details from the registration form. Then review the information and submit.

!Please note that the following fields content will be appended into the comments/notes field: !- Company !- License Plate Number !- Requested Visitor App Access !- Requested Mobile Access Control Credentials !- Requested Smart Card/Tag Credentials !- Requested Vehicle Access Control

  1. The new user/person is then added to the system and the registration request is removed.
